The inbox priority run

Tool: ClaudeSetup: 25 min setup, 10 min a day afterCost: free

You don't need zero inbox; you need the five messages that actually need you, surfaced, with drafts waiting. A daily AI triage pass does exactly that.

The setup

  1. Connect Claude to your email (personal or admin account, never a PHI inbox).
  2. Save the starter prompt below and run it each morning — or schedule it as a recurring task.
  3. Send the drafts it writes after a 10-second read each. Archive the rest in one sweep.

The starter prompt

Copy, then fill the brackets

You are my inbox chief of staff. Triage every message from the last 24 hours into: 1) NEEDS ME — a drafted reply for each, matching the tone of my sent mail (study it first), under 120 words, decision-ready; 2) QUICK CALLS — yes/no items with a one-line draft and your recommendation; 3) FYI — one sentence each, grouped by project; 4) ARCHIVE — just the count. Rules: time-sensitive items go to the top with the deadline bolded; anything from [names that always matter] is automatically NEEDS ME; if a thread has three or more back-and-forths, propose a meeting instead of another reply; never auto-send. End with one pattern you noticed that I should automate next.
